Transitions D2D, LLC (“we,” “our,” or “us”), the company operated by Sheila R. Carmichael, MCC, M.Ed., is committed to safeguarding your privacy and maintaining the confidentiality of the information you share with us.   • All services offered by Transitions D2D, LLC, including 1:1 executive coaching, group and team leadership development, ICF mentor coaching, masterclasses, the Private Executive Roundtable Dialogue, assessments (including the 3D Authentic Presence™ Assessment and the Leader Readiness Assessment™), and related resources.

  • All interactions through our websites (sheilacarmichael.com and transitionsd2d.com), booking and client-management platforms, email communications, and other digital platforms (collectively, the “Services”).

2. Personal Data We Collect

We collect and process personal data to provide and enhance our Services. This includes:

Information You Provide:

  • Contact Information: Name, email address, phone number, and mailing address.

  • Coaching Data: Goals, session notes, assessment results, and leadership insights shared during coaching engagements.

  • Payment Data: Billing details and transaction history, processed through secure third-party payment and client-management platforms.

  • Program Enrollment Data: Application responses, intake forms, and registration information for masterclasses, roundtables, and coaching programs.

Automatically Collected Data:

  • Usage Data: Interactions with our websites, including pages visited, features accessed, and time spent.

  • Device Information: Device type, browser type, IP address, and operating system.

  • AI-Processed Insights: Where applicable, development-related observations generated by AI-assisted tools, always under human review (see Section 6).

3. How We Use Your Data

We use your data to:

  • Deliver personalized executive coaching experiences and leadership development plans.

  • Administer programs, assessments, and events, including the 3D Authentic Presence™ Assessment and the Invisible Influence Method™ Masterclass.

  • Communicate program updates, session reminders, and relevant leadership resources.

  • Improve and refine our own coaching methodology, frameworks, and digital tools.

  • Ensure the security and functionality of our platforms.

4. How We Share Your Information

We share your personal data only under the following circumstances, and never sell or rent it to third parties for marketing purposes:

  • Service Providers: With trusted third-party vendors operating under data-protection terms — including scheduling tools (such as LunaCal), form tools (such as Typeform), payment and client-management platforms, cloud storage providers, and AI-assisted tools (such as Zoom AI Companion and Anthropic’s Claude). These providers are engaged to support our Services and are bound to protect your information.

  • Legal Compliance: To comply with applicable laws, regulations, or valid legal requests.

  • Business Transfers: In connection with a merger, acquisition, or similar event, with prior notice provided to affected individuals.

5. Data Protection and Retention

We implement reasonable, industry-standard security measures — including encryption, access controls, and secured accounts and devices — to protect your information. Access to coaching records is limited to Sheila R. Carmichael, MCC.

Retention Periods:

  • Coaching session data: Retained for up to 24 months following the conclusion of your coaching engagement.

  • Assessment data: Retained for up to 12 months following program completion.

  • Payment data: Retained in accordance with applicable financial recordkeeping laws.

  • Marketing and communications data: Retained until you unsubscribe or request removal.

Content processed by AI-assisted tools is subject to those providers’ short-term processing and retention practices (generally about 30 days) and is not used to train AI models (see Section 6). At the close of an engagement, we securely delete client records we hold, including any associated meeting transcripts or summaries.

6. Responsible Use of AI

We use AI-assisted tools to support — not replace — the human coaching relationship, and we are committed to using these technologies responsibly:

  • Human oversight: All AI-generated insights are reviewed by Sheila R. Carmichael, MCC, before being applied to your development.

  • No training on your content: The AI-assisted tools we use are configured so that your content is not used to train AI models.

  • Minimized data: We remove identifying details from content before it is processed by AI-assisted tools, so that what is processed is not tied to you by name or organization.

  • Vetted providers: We use only established, enterprise-grade tools, selected and configured with privacy and security as a priority.

  • Transparency: You will be informed when AI tools are used to process or analyze your information.

7. Your Data Rights

You have the right to:

  • Access — request a copy of the personal data we hold about you.

  • Correct — request correction of inaccurate or incomplete information.

  • Delete — request deletion of your data, subject to legal retention requirements.

  • Object — opt out of processing for specific purposes, including marketing communications.

Depending on your location, you may have additional rights under laws such as the EU/UK General Data Protection Regulation (GDPR) or the California Consumer Privacy Act (CCPA/CPRA), including rights to data portability and to lodge a complaint with a supervisory authority. Despite our safeguards, no method of transmission or storage is completely secure. In the event of a data security incident affecting your personal information, we will investigate promptly, take appropriate remedial action, and notify affected individuals and relevant authorities as required by applicable law, without undue delay.

Our Services are intended for adult professionals and are not directed to individuals under 18. We do not knowingly collect personal data from minors. If we become aware that we have inadvertently collected such data, we will delete it promptly.

11. International Data Transfers

Transitions D2D, LLC is based in the United States. If you are located outside the U.S., your information may be transferred to, stored, and processed in the United States. We take appropriate measures to ensure your data remains protected in accordance with this Privacy Notice.
